Minutes:   24th  October  2005    7.30pm  Wildfowler Inn.

Welcome: R. Campbell opened the meeting and thanked those present for attending.

Minutes of Previous Meeting: Minutes for meeting   19th September 2005  accepted by committee.   (Pro.  J. Brady   Sec.  K. Ritchie)

Correspondence:  Low priority information sent from ABC to GADCA addressed to Trevor Patterson.  M. Brown to contact ABC to update contact details.

Road Surfaces/ Speeding: M. Brown reported that Alderman Jim Shannon sent his apologies for being unable to attend this meeting.  Due to important council business, directly associated to road surfaces in the village, he felt the need to prioritise and hoped to have some good news for the committee in the near future.

Pub Quiz: Committee agreed that the Pub Quiz had been a resounding success.  The venue was well supported by the community and feedback from those attending was very positive.  M. Brown stated that the event raised a total of £260.24 after expenses. 
R. Campbell thanked everyone who donated prizes for the ballot.  Committee agreed that another Quiz Night should be considered as a future event.  N. Cornick suggested that a 60s Disco Night was always a good crowd puller and that he would make enquiries as to the cost of hiring a D.J. for such an event.  Another suggestion was a Karaoke Night.

Christmas Lights Competition: Posters to be circulated throughout village advising residents and Traders of the competition.  R. Campbell to confirm that Greyabbey LOL are willing to sponsor prize for Residential Competition.

 Independent Judge:   To be confirmed.
 Date of Competition:  Judging to take place…9th – 17th December 2005.
 Announcement of Winners: 17th December 2005 (Christmas Supper Night).
 Residential Prize:   To be confirmed (Sponsored by Greyabbey LOL?).
 Traders Prize:    Event Tickets (R. Campbell).
 Posters:     To be circulated around village (M. Brown).
 Greyabbey Notes:   Event to be advertised in Greyabbey notes (R. Campbell)

 

Christmas Supper Night: Catering was discussed and the variation of food included Soup, Sandwiches, Cocktail Sausages, Sausage Rolls, Vol-u-vents, Pavlova, Hot Punch, Tea, Coffee and soft drinks.  Some concern was voiced over the provision of hot drinks but it was accepted that these would be served whilst everyone was seated to minimise risk.  It was suggested that each committee member would be willing to provide one loaf of sandwiches to ease the burden on the caterers.  G. Ritchie, P. Cornick and A. Ritchie to estimate quantities of food required and organise a sandwich list to prevent duplication of sandwich fillings.  Committee agreed that although alcoholic drinks would not be provided at the venue, anyone attending would be permitted to bring their own.  Since this is not stated on the tickets it will be up to committee members to pass this information on at point of sale. 
S. Gordon stated that the Tombola would require a large number of prizes to be successful.  If this could not be achieved the only option would be to have a Ballot instead.  Committee members were asked to hunt out all their unwanted/ unused gifts, no matter how small, and bring them to the next meeting.  J. Davidson agreed to purchase children’s gifts for distribution by Santa.  K. Ritchie and M. Brown stated that they have some items of Christmas decoration that could be used for the evening.  R. Campbell reported that 200 tickets have been ordered but unfortunately these are not yet available.  When available they will be distributed amongst committee members.  As this is a ticket only event and in order to maximise the number of tickets sold, it is essential that any unsold tickets be returned to R. Campbell or M. Brown as soon as possible.

Ticket Advice: Tickets are Multi-price.  Face of ticket will display three options –
Adult - £5.00    Senior Citizen - £3.00    Child - £1.00.  One ticket should be issued per person and Committee members are asked to delete two choices not applicable at point of sale i.e.

   2.00 pm  All available committee members to set up Hall.
   7.00 pm  Committee Arrive.
   7.30 pm  Doors Open, Music Starts, Santa meets children with gifts…  Ho ho ho.
   8.00 pm  Supper Starts, Sell Tombola/ Ballot Tickets.
   9.00 pm  Supper Finishes, Spot Prizes for Children.
   9.30 pm  Announce winners of Christmas Lights Competition.
   9.35 pm  More music, Dancing etc.
   11.30 pm  Finish.

Scaffolding - Main Street: This issue seems to have been resolved.  With the re-commencement of work to the property it is hoped that scaffolding will be removed on completion.

Overhanging Brambles: M. Brown reported that a letter drafted by D. McGreal was sent to DRD Road Services but as yet no response from that department had been received.  Since almost one month has now elapsed it was agreed to re-send original copy with covering letter demanding a prompt reply.

Youth Report: R. Campbell reported that youth group is going strong and that a disco was planned for Friday Night.

Treasurers Report: M. Brown reported that some bills needed to be paid.  Committee authorised M. Brown to pay bills from GADCA funds.  (Prop. D. Murray   Sec. J. Brady)

CPLC Report:    No report available.

Other Business: NHW Scheme - J. Brady asked if any progress had been made towards having Richard Brittain or one of his staff invited to a future meeting to discuss N.H.W. Scheme.  M. Brown stated that N.H.W. had been taken off the agenda until January 2006 and that he would be contacting this department in the near future to hopefully arrange A.B.C. Speaker for January/ February meeting.  S. Gordon stated that he was very disappointed with public departments that failed to turn up when a date had been set and felt that future last minute cancellations should be named and shamed in the Greyabbey Notes.  D. McGreal suggested writing to these departments with a number of dates that they could choose from.

BMX Track – D. McGreal reported that he was approached by a number of young people who asked him to bring their efforts of trying to secure a BMX Track in the village to the attention of this committee.  D. McGreal stated that these young people have already started a petition that they hope to present to A.B.C. demonstrating local support for this project.  The site they would be keen to use for this purpose is the small area of ground situated directly behind the new sewage plant (adjacent to the football field) and that the only structures required would be mounds of earth.  Committee agreed that the efforts of these young people should be admired and supported.  The proposed site is well away from roads, is unused and more importantly – would take children on bicycles off our busy streets.  D. McGreal has agreed to look into this matter in more detail.

Co-opted – It was proposed and unanimously carried that Mrs Pippa Cornick be co-opted onto this committee.  Welcome aboard Pippa.
